1. Who we are

Scott Inspection Services Ltd("we", "us") provides independent statutory inspection and thorough examination services. We act as the data controller for the personal data we collect through this site and our day-to-day business communications.

2. What we collect

We only collect the information we need to respond to enquiries and carry out our work:

• Enquiry details — your name, business name, email address, telephone number and the message you send us through the contact form, or by email or telephone.
• Job records — site and equipment details required to plan, attend and report on a thorough examination (equipment make, model, serial number, identifying marks, site address, duty holder contact).
• Basic technical data — limited information about your device and browser (such as IP address, user agent and pages visited) that our hosting provider logs to keep the site running and secure.

3. How we use it

• To respond to your enquiry and arrange a competent-person attendance.
• To issue reports of thorough examination and inspection records, and to retain those records against the next due date as required by LOLER 1998 and PUWER 1998.
• To bill for work carried out and to keep accounting records required by HMRC.
• To meet our legal, regulatory and insurance obligations.

4. Our legal bases

We rely on the following lawful bases under UK GDPR:

• Legitimate interests — to respond to your enquiry, deliver our service and maintain proper business records.
• Contract — where we are acting to take steps at your request or to fulfil an agreed examination.
• Legal obligation — where we are required to keep records (for example, statutory examination records and accounting records).

5. Sharing

We do not sell or rent your personal data. We only share it where necessary, with carefully selected providers acting on our instructions, for example:

• Our email, hosting and document-management providers.
• Our accountants and professional advisers.
• Regulatory or enforcement bodies where the law requires.

6. Retention

We keep statutory examination records for at least the period required by the relevant regulations (typically two years, or until the next examination, whichever is later) and accounting records for six years after the end of the relevant financial year. Enquiry data that does not lead to work is kept for a reasonable period and then deleted.

7. Your rights

Under UK GDPR you can ask us to:

• Confirm what personal data we hold about you and provide a copy.
• Correct data that is inaccurate or incomplete.
• Delete data where there is no overriding reason to keep it.
• Restrict or object to certain types of processing.

8. Cookies and analytics

We use Google Analytics 4 to understand which pages are useful, for example which areas and services visitors read about before getting in touch. It runs only if you choose "Accept" on the cookie notice. Until then no analytics cookies are set.

With your consent Google Analytics sets two cookies, _ga and _ga_LWE0PDH95S, which hold a random identifier used to tell returning visits apart. They last up to two years. Reports are aggregated, Google Analytics 4 does not store IP addresses, and we do not use the data for advertising or share it beyond Google's processing of it on our behalf. Google's privacy policy is at policies.google.com/privacy.

You can change your mind at any time using the "Cookies" link in the footer. If you decline after accepting, the analytics cookies are removed. Browsers that send a Global Privacy Control signal are treated as having declined and are not asked. Any other cookies on this site are strictly necessary to keep it working.
